Duties:

" Review completed Purchase Orders to ensure that information is properly recorded and contain appropriate authorization for payment.
" Review invoices and statements to ensure that all the information appearing on them is accurate and complete.
" Charge expenses to accounts and cost centers by analyzing invoices/purchase orders.
" Code documents according to company procedures.

Duties:

" Aid property managers in issues regarding tenant leases. Upon request of Property supervisors, gather information, review/analyze leases and provide information regarding lease.
" Communicate with property supervisors daily; advising them of tenant concerns and handle administrative tasks such as gathering information, answering phones, contacting tenants and using MS Outlook and work order system to document phone calls and discussions and appropriate / timely follow-up.
" Learn and perform front desk reception responsibilities, acting as backup when requested
" Prepare spreadsheets and necessary data per assigned requests. Follow up with contractors to ensure that necessary documentation is received in a timely manner. Continuously communicate status with management.
" Compile a log of comments and concerns and establish a schedule for prioritizing and addressing any unresolved tenant issues.
" Properly react to, answer and screen calls and correspondence to property management, properly responding to issues from tenant questions as well as those from internal personnel. " Input work orders into computer. Monitor and ensure completion.
" Prepare purchase orders and vouchers for property management. Package purchase orders and prepare job orders, provide information and review with property management, and follow up with tenants to insure proper completion. Prepare management correspondence, maintenance letters, bids, etc. Update property management listing sheet.
" File, fax, make copies of, and mail correspondence. Organize incoming and outgoing mail; maintain tenant files/correspondence.
" Receive, unpack and place supplies in storage, monitor and maintain company supplies/inventory especially printer cartridges, deliver and replace printer supplies as needed, sort and deliver company mail.


Requirements:

Excellent organizational, computer, math, telephone and communication skills
Proficiency in Microsoft Outlook, Word and Excel
Two-year secretarial degree and 2+ years related experience or equivalent preferred
Knowledge of AS 400 a plus

Duties:

" Communicate with tenants to address, resolve, interpret, judge, or enforce the lease and any concerns, requests, or problems.
" Respond to and resolve tenant concerns/requests in an expedient manner, including acting on call for after hour emergencies.
" Coordinate repairs, upgrades, new construction or tenant buildout with contractors, tenants and other departments from planning stages until turnover.
" Obtain estimates, review and negotiate contracts, obtain necessary permits and award contracts. Oversee work of and monitor services of contractors to insure work is carried out properly. Perform final inspection and photo documentation of construction/repair work, and insure completed work meets tenant/company requirements.
" Perform regular inspections of properties, primarily common areas, dependent upon landlord obligations, location, and current projects on site. Oversee necessary repairs and institute upgrades at plazas. Maintain an excellent exterior appearance of the Retail center including fa ade, landscaping and parking lot upkeep and cleanliness. Oversee the safety and overall appearance of properties.
" Review all policies and covenants relating to tenant leases to ensure proper enforcement. Communicate and discuss lease with tenants. Review all emergency management policies for property management including plumbing, electrical, telephone, fire, law enforcement, and lighting.
" Review all relevant vendor contracts and prepare a tickler file for future evaluation to determine which contract should be renegotiated and/or re-bid for prudent fiscal management.
" Provide direction to maintenance staff in performing related functions, daily tasks, responsibilities, upcoming events and promotions. Supervise, train, and monitor work of maintenance staff.
" Correspond with local municipal authorities regarding notices and enforcement of local ordinance and codes.
" Properly complete paperwork associated with each plaza/property in a timely manner. Coordinate all purchases, monitor all incoming invoices. Properly Issue purchase orders and approve invoices and provide support documentation to expedite voucher process.
" Perform pre/post vacancy tenant inspections.
" Prepare and monitor aspects of costs and budgets as related to properties.
" Serve as a liaison between BDC and the public and tenants. Assist leasing agents in identification of prospective tenants through showing of space as called upon. Knowledge,

Requirements:

" Excellent organizational, written and communication skills.
" Proven experience in multi-property management or management of a complex single property.
" Experience in construction especially related to mechanical and building aspects.
" Ability to perform minor maintenance tasks. Good working knowledge of mechanical and construction related industry preferred.
" 3 to 5 years of experience in managing related facility/property or multiple facilities/properties with overall responsibility for the maintenance and upkeep of the facility.
